JOB SUMMARY

The Administrative Assistant I is responsible for providing general clerical and customer service support by implementing and following administrative systems, procedures, and policies, monitoring administrative projects and assisting in the production of reports.

ESSENTIAL FUNCTIONS

Provide timely support to staff by effectively addressing clerical needs

Greet and interface with office visitors, both via phone and in person, ensuring they have positive experience through addressing their needs and concerns in a timely, positive manner

Provide information by answering questions or inquiries from both internal and external customers

Execute basic office clerical duties such as copying, filing, faxing, shipping and receiving, forms/document management, answering phones, directing client inquires to appropriate parties and distributing mail

Collaborate with sales function to develop schedule of trade shows and support the participation in shows through creation, ordering and shipping of materials, trade booth equipment etc...

Support the sales and marketing teams through ordering and shipping of marketing materials

Other administrative duties as needed

Contributes to team effort by accomplishing related results as needed

MINIMUM REQUIREMENTS

High school degree or equivalent

Minimum 1 year of experience

Experience working with applications within the Microsoft Office Suite

General knowledge of office systems

Ability to independently prioritize workload and complete assigned tasks within communicated timelines

Excellent customer service and communication skills

Must possess above average organization skills and be able to maintain neat and orderly systems and work space

Must display a positive and enthusiastic demeanor while interfacing with clients and throughout the execution of all duties

Physical Requirements:

While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel objects, tools; talk or hear. The employee may be required to stand, walk, and sit.

The employee must regularly be able to lift up to 50 pounds and occasionally exert up to 50 pounds of force. Specific vision abilities required by this job include color vision and depth perception.

Working Conditions:

While performing the duties of this job, the employee will split time between general office environment and laboratory environment.

The noise level in the work environment is usually moderate.

This job will require a minimum 50% travel up to 75%

This is a split shift position. Monday through Thursday this is 11AM to 8PM. Friday is 9AM to 6PM.
8 hours per day excluding breaks.
